HR Admin & Payroll Officer

 

WWF Belgium is looking for a HR Admin and Payroll Officer to manage the monthly payroll, the employees records and up to date Comp & Bens policies. As Payroll Officer, you process the organisation’s payroll in a timely and accurate manner: calculations of wages and applicable deductions based on employee attendance, entering payroll information into central system for processing, completing and updating payroll reports.

 

The administrative part of your role covers the implementation of the HR policies, their correct applications, the fair treatment of employees, interns, volunteers… in accordance with regulatory and administrative requirements.

Together with the HR Specialist, you are the point of contact for our employees, SMT and partners regarding any HR related matters.

 

Your Role

1. Staff administration

  • Draft documents relating to the employment relationship: employment contracts, amendments, leaves...
  • Prepare social documents, submitting requests to ad hoc authorities: parental leave, time credit, subsidies ...
  • Follow the encoding of the attendances and absences, make modifications when necessary
  • Make the necessary affiliations in time, i.e., Pension & health Insurances …
  • Maintain employee files and records in electronic and paper form
  • Manage immigration files when required

 

2. Payroll

  • Preparing, encoding and controlling Payroll in collaboration with the social secretariat
  • Managing employee benefits: registering new employees, tracking changes…
  • Keeping the Compensation & Benefits packages up to date

 

3. Point of Contact for all staff administration or pay-related questions

  • Answer the questions from the staff, the partners (social secretariat, subsidiary bodies, auditors…)
  • Stay informed of changes in labour laws and ensure the compliance with new regulations
  • Administer all Compensation and Benefit plans
  • Provide salary reporting for all subsidies files

 

4. Working on HR projects

  • Assist in development and implementation of human resource policies
  • Gather and analyse data with useful HR metrics
  • Suggesting and applying new perks and benefits
  • Supporting HR priority projects with any administrative activity, including updating relevant reports and keeping track of relevant deadlines
  • Responding to emails on behalf of the department
  • Being a competent user of all internal systems
  • Updating and maintaining internal systems, records and reports with accurate people data

 

Your Profile

  • Min 3 years’ experience as Payroll Officer or similar role
  • Expertise in general Human Resources policies and procedures
  • Good knowledge of Belgian employment/labour laws
  • Excellent communication and people skills
  • Outstanding knowledge of MS Office; HRIS systems (SDWorx) will be a plus
  • Aptitude in problem-solving
  • Desire to work as a team with a can-do approach
  • French or Dutch native level with an active knowledge of the 2nd language + a good command of English
  • Excellent organizational skills
  • Tact and diplomacy
  • Team spirit and sense of humour appreciated
  • Genuine interest in and commitment to environmental and conservation issues
